How to plan a window cleaning round

A good round is not merely a list of addresses in postcode order. It is a recurring workload that still works after travel, parking, access problems, rain, customer messages and payment admin are allowed for.

The short answer

Start with the hours that can genuinely be worked, subtract breaks and administration, then estimate the complete time per stop—not just the minutes spent cleaning glass. Group nearby customers into sensible recurring rounds, put each day into a practical road order, and keep 10–15% capacity free for rain, access and jobs that run over.

The seven-part planning sequence is:

  1. Set the real working window and an achievable daily target.
  2. Give every customer a clear recurring cadence and next-clean date.

Important: treat calculated capacity as a ceiling, not a booking target. A fully packed diary has no room for weather, a locked gate, a difficult conservatory or a customer conversation.

1. Start with the real working day

A seven-hour day does not provide seven hours of cleaning. Loading water, travelling to the first round, lunch, refilling, answering customers, banking cash and dealing with an awkward access problem all consume capacity.

Write down the earliest realistic first-job time and the time the last job must finish. Subtract predictable breaks and administration. Then reserve part of what remains for disruption. Ten percent may be enough on a very compact round; a spread-out or access-heavy round may need more.

2. Make the customer cadence authoritative

Every recurring customer needs a frequency, a last or next visit, an agreed price and an active/paused state. The customer cadence should drive future work. A round label such as “Tuesday North” is useful organisation, but it should not silently change an individual customer from every four weeks to monthly.

When a visit moves, decide whether only that visit is moving or whether the future sequence should move with it. Those are different business decisions. Preserve completed and invoiced history even when future scheduled work is replanned.

3. Group customers into compact rounds

Build rounds from work that can sensibly be cleaned together. Start with geography, then refine by access and working conditions:

  • streets or estates that share the same parking area;
  • commercial jobs that must be completed before opening;
  • properties with keys, locked gates or agreed access windows;
  • water-refill points and places where a van cannot easily stop;
  • school traffic, market days and predictable congestion.

A compact round reduces travel, but it also makes replanning easier: a delayed block can move together without scattering isolated jobs across the week.

4. Measure the complete time per stop

“Twenty minutes to clean” is not the same as a 20-minute job slot. Include the average time to drive, park, unload, gain access, update the job and move away. Use separate averages for small regular houses, large houses, conservatories and commercial work when the mix varies significantly.

Review actual results after several weeks. If a planned 20-job day repeatedly finishes as 15 jobs, the answer is not to keep carrying five jobs forward—the time assumption is wrong.

5. Use road order, then apply working knowledge

Straight-line distance can put two nearby properties next to each other even when a railway, one-way system or river makes the drive much longer. Keep manual control. The mathematically shortest route may still be impractical when one customer needs an early visit, a key must be collected, parking disappears after 9am or a school street closes.

6. Decide the rain-day rule in advance

Waiting until a wet morning to invent the rule usually creates double booking. Decide whether unfinished work moves as one block, whether only selected visits move, and what happens to each customer’s future cadence.

Check the destination day’s capacity before adding work. If Tuesday was already at 90%, moving all of Monday onto it simply creates another impossible day. Spread the recovery across available space and tell affected customers once the new plan is credible.

7. Connect the visit to messages and payment

The round is not complete when the glass is finished. The operational loop is:

  1. send any useful before-visit reminder;
  2. complete or skip the correct dated job;
  3. create the invoice or record the payment as appropriate;
  4. send the completion/invoice message;
  5. keep the outstanding balance visible for follow-up;
  6. confirm the next recurring visit exists.

  • Confirm the day’s active customers and remove paused or unavailable work.
  • Check total jobs, expected value and estimated cleaning/travel time.
  • Review weather, access notes, keys and time-sensitive customers.
  • Choose the starting point and check the road order.
  • Send reminders only after the plan is settled.
  • Record completed, skipped and moved jobs as they happen.
  • Check invoices, payments and outstanding balances before closing the day.
  • Verify recurring customers still have their next scheduled visit.

When a spreadsheet is still enough

A spreadsheet or calendar can be perfectly adequate for a small, stable round with one worker, a handful of recurring frequencies and little invoicing.
